Procurement Heads is delighted to have taken on a retained search to recruit a Procurement Administrator by a leading procurement professional services organisation, dedicated to providing procurement solutions to the public sector.
With a stable and experienced senior leadership team, the business is in high demand and is looking to recruit a host of procurement positions across the enterprise, requiring dynamic individuals who can demonstrate public sector rigour with private sector agility. 
Reporting to the Director of Procurement, this is a fantastic entry-level procurement position for an enthusiastic and motivated junior professional looking to progress into a Buyer role. 
You’ll provide assistance and administrative support to the Director of Procurement as well as the Senior Leadership team and be responsible for supporting the business functions of the Procurement Team. 
What’s more, you’ll take on buying activities, systems roll-outs and deliver continuous Improvement initiatives as and when appropriate.
This position will be a mixture of remote and office-based work within its Hampshire office. 
As Procurement Administrator your key responsibilities will be:

  • Providing a full confidential personal secretarial and assistant service to the Director of Procurement and Senior Leadership team
  • Developing and managing a robust deadline process for specific directorate core functions
  • Generating Directorate reports, both electronic and paper-based as required by the SLT Team
  • Responsible for maintaining the Diary (electronic) of the Director while Personally assessing priorities against other diary commitments and ensuring no over commitments occur
  • Responsible for ensuring the confidential Personnel files of the Director are kept up to date
  • Managing the Director’s email system, reviewing and bringing to the Director’s attention all items of importance and using initiative to deal with chasing of outstanding actions before they become a problem
  • Ensuring the prompt opening of incoming mail (electronic and postal), sorting into priority and where necessary filters appropriate correspondence to managers and personally creates standard responses where appropriate
  • Working with others to support the roll-out of smart communications systems and AI to further improve information flow and client services
  • Facilitating both formal, high-level meetings and informal inter-Directorate meetings and ensuring they are managed with formal minute taking, prepared agendas and papers, managing attendees and taking follow-up actions where appropriate
  • Organising and coordinating travel and accommodation arrangements for the Director and other personnel as required
  • Collating information and ensuring the Director is furnished with any information & briefing materials as may be required for reports, meetings etc
  • Upkeeping of personal HR records and provision of statistics, together with other personnel-related tasks fully in line with GDPR standards
  • Developing and maintaining a comprehensive paper and electronic document storage and retrieval filing system and scanning facilities
  • Ensuring appropriate and equitably prioritised PA support to all team members where required
  • Ensuring policy and procedure requirements are adhered to throughout the administrative functions
  • Assisting all the team in the development of procedures including records, monitoring office procedures and IT systems
  • Developing effective partnerships with appropriate managers and staff from other divisions and corporate services to maintain ongoing development of constructive working relationships across the business
  • Supporting the achievement of essential skills and appraisal targets across the directorate
  • Organising staff appraisal, personal development plans and training logs for staff members directly managed by members of the SLT
  • Undertaking any other duties commensurate with this banding as required by the client
  • Taking on the role of Buyer as and when appropriate and subject to full training and development

Skills and experience:

  • Effective communicator with energy and enthusiasm
  • Qualification Business Admin (NVQ 3 or working toward higher) or relevant alternative including on job experience
  • High level of computer literacy and knowledge of software packages such as Microsoft Word Excel, Teams and PowerPoint
  • Track record of delivery to tight deadlines
  • Minute taking qualification or equivalent experience
  • Full driving licence as some travel to other sites may be required
